The Randolph Area Foundation (“RAF,” “we,” “us,” or “our”) is a 501(c)(3) nonprofit organization dedicated to improving the quality of life in the Randolph, Nebraska area through charitable giving and community leadership. We collect the information needed to communicate with you, process gifts, and evaluate grant requests — nothing more.
Information you provide directly
- Contact form: name, email, phone number, mailing address, preferred contact method, and your message.
- Donation information request form: name, email, phone number, mailing address, donation type (one-time, recurring, planned gift, or stock/asset gift), fund or purpose designation, and memorial/honor gift details, including the name and address of anyone you ask us to notify of your gift.
- Online donations: when you give online, your payment is processed securely by PayPal. RAF does not receive or store your full card or bank account number. PayPal shares only the transaction details we need — donor name, gift amount, and contact information — to send a receipt and keep accurate records. - Mailed gifts: if you send a check, we retain the information on the check and any accompanying note (such as memorial or honor instructions) for our donation records.
- Grant applications: when our annual grant cycle is open, applicant organizations provide contact and program information as part of the application. We use this solely to evaluate and administer grant requests.
Information collected automatically
- Standard technical data, such as browser type, device type, referring page, and pages visited, gathered through server logs and website caching.
- Cookies, as described below.
How We Use Your Information
We use the information we collect to:
- Respond to your questions and requests
- Process and acknowledge donations, and issue tax receipts
- Send gift notifications you ask us to send, such as memorial or honor gift notices
- Evaluate and administer grant applications
- Maintain accurate donor and organizational records
- Maintain and improve the performance of our website
We do not sell your personal information, and we do not share it with third parties for their own marketing purposes.
Caching
This site utilizes caching in order to facilitate a faster response time and better user experience. Caching potentially stores a duplicate copy of every web page that is on display on this site. All cache files are temporary, and are never accessed by any third party, except as necessary to obtain technical support from the cache plugin vendor. Cache files expire on a schedule set by the site administrator, but may easily be purged by the admin before their natural expiration, if necessary. Cookies
If you fill out the contact form or donation information request form on our site, a temporary cookie may be used so the form functions correctly and to help protect the form from spam and automated submissions. Our contact and donation forms are built with Gravity Forms.
Caching cookies may also be used to serve pages more quickly, as described above under Caching.
We use Matomo, an analytics tool we host ourselves, to understand how visitors use our website, such as which pages are viewed and how visitors arrive at our site. Matomo may set cookies to distinguish one visitor from another. Because our Matomo installation runs on our own server rather than a third party’s, your analytics data is not sent to or shared with an outside analytics company. We use this information only in aggregate, to understand traffic patterns and improve the site.
We do not use cookies to build advertising profiles or track you across other websites.

How Long We Retain Your Data
We retain donation and grant records for as long as needed to meet our accounting, tax, and legal recordkeeping obligations as a 501(c)(3) nonprofit. Contact form messages are kept only as long as needed to respond to and resolve your inquiry, unless you become a donor or grant applicant, in which case standard donor recordkeeping applies.
Your Rights and Choices
You can ask us to:
- Tell you what personal information we hold about you
- Correct inaccurate information
- Delete your personal information, except where we’re required to keep it for accounting, tax, or legal purposes
- Remove you from any mailing or contact list
